EPF members, EPS pensioners, employers, and even people who don't have a UAN yet can submit their grievances, queries, and complaints online through this portal. Whether it's a formal grievance, a one-time query, or a specific complaint, the EPFiGMS grievance system covers all of it. For this, you'd need your UAN (Universal Account Number), the category of your issue, and any other supporting documents. Once they are submitted, you get a Grievance Registration Number to track its status, which is also how you can do an EPF grievance status check later on. EPFO aims to dispose of most complaints within 15 to 30 days, but if that does not happen, you can escalate the issue through the EPFO helpdesk complaint channels via email, helpline, or the CPGRAMS portal.
Here's a detailed overview and a step-by-step breakdown of the process.
When should you file a grievance on EPFO?
Not all PF problems require a formal grievance to be filed. Occasionally, a call with your HR team or a quick passbook check can be enough. But some situations require filing a grievance on the EPFiGMS portal. This is what those situations could look like:
● Claim delay: When your PF claim has been delayed despite you having submitted Form 19, Form 31, or Form 10C.
● Claim rejection: When your PF claim is rejected, but you don't know why, and you feel this could've been a system error.
● KYC stuck: Your KYC is stuck, with Aadhaar, PAN, or bank details showing as "pending" for a long period of time.
● Employer not depositing PF: Your salary shows the PF deduction every month, but it doesn't show up in your PF passbook.
● Incorrect personal details: If your personal details are incorrectly submitted (wrong name, wrong date of birth, or the wrong PF account number linked to your UAN)
● Transfer request stuck: Your requests for transfer are held up between old and new employers.

How to file a grievance on EPFiGMS (step-by-step)
First, what is EPFiGMS? It stands for EPF i-Grievance Management System. It is a dedicated online portal by EPFO. This is how you can use it:
1. Visit the EPFiGMS portal. Go to epfigms.gov.in, or open the UMANG app and select EPFO Services.
2. Select "Register Grievance". This option is on the portal's homepage.
3. Choose your status. Pick PF Member, EPS Pensioner, Employer, or Others. Choose "Others" only if you do not have a UAN, PPO number, or establishment code.
4. Enter your UAN and the security code. EPFO will send an OTP to the mobile number registered against your UAN. Enter it to verify, and your personal details will fill in automatically.
5. Select your grievance category. Choose the option that matches your issue, such as claim delay, KYC, or transfer.
6. Write a clear, specific description. Mention dates, amounts, and your exact issue in detail.
7. Upload supporting documents. Attach receipts, ID proof, or any rejection letter you have.
8. Submit and save your registration number. You'll receive this number by SMS and email.
Choosing the right category in step 5 matters, because it determines which department your complaint lands with. And being specific in step 6 helps, because only saying "my claim is delayed" or "employer didn't transfer PF" isn't enough detail for EPFO to act on quickly.
Is there an offline way to file a grievance?
Yes. If you'd rather not use the portal, EPFO also accepts grievances offline:
1. Write a complaint letter. Include your UAN, PF account number, and a clear description of the issue.
2. Attach supporting documents. Photocopies of claim receipts, Aadhaar, PAN, or any rejection letter.
3. Submit it to your Regional EPFO office. You can hand it over in person or send it by post, addressed to the Regional PF Commissioner (RPFC).
4. Ask for an acknowledgement. Request a receiving stamp or acknowledgement slip with a reference number, so you have proof of submission.
5. Follow up at the same office. Since there's no online tracking for offline grievances, you'll need to check status by visiting or calling the regional office directly.
Most people prefer the online EPFiGMS route since it's faster to track, but the offline option is useful if you don't have reliable internet access or want to keep a physical paper trail.
How to track your grievance status?
After filing your complaint, you can check its progress anytime. This is how:
1. Visit epfigms.gov.in.
2. Click on "View Status".
3. Enter your Grievance Registration Number (the same number you received by SMS and email after filing, not a separate ID), along with your registered mobile number or email ID and the security code.
4. The portal will display the current status: Registered, Under Process, Transferred, or Disposed.
In case the status shows "Disposed" but the problem isn't solved, note that EPFiGMS has no reopen option. While a grievance is still pending, you can push it along using the "Send Reminder" tab on the portal. Once it has been disposed, you will need to file a fresh grievance quoting your earlier Grievance Registration Number, or escalate by email or through CPGRAMS.
EPFO helpdesk: What are the other ways to escalate?
If your grievance is still pending after 15 days or you are unsatisfied with the response, you can try the following escalation routes:
● Email higher authority: Write to rc.csd@epfindia.gov.in, mentioning your Grievance Registration Number.
● Toll-free helpline: Call 14470, EPFO's multilingual helpline for PF, pension, and EDLI queries, available 7:00 AM to 9:00 PM. For UAN and KYC-specific issues, call 1800-118-005, available 9:15 AM to 5:45 PM on all seven days except gazetted holidays.
● WhatsApp support: EPFO has regional WhatsApp helpline numbers for PF and pension queries. Check the official EPFO WhatsApp helpline list on www.epfindia.gov.in for your area/region.
● CPGRAMS portal: If EPFiGMS escalation still doesn't help, submit your complaint on the central government's grievance portal, pgportal.gov.in, under the Ministry of Labour and Employment. The complaint is routed back to EPFO for action, but once it is disposed you can rate the resolution. Rating it "Poor" unlocks an Appeal option, which sends your case to an appellate authority above the original grievance officer.
● Visit your Regional EPFO office in person: Carry your grievance number, UAN, and supporting documents, and request to meet the Regional PF Commissioner (RPFC) directly.
To speed things up, you can try more than one channel at the same time. For example, filing on EPFiGMS and also calling the helpline with your reference number. It might help your case reach more than one team.
One thing worth clearing up: if you only want to confirm your balance rather than escalate a complaint, give a missed call to 011-22901406 or 9966044425 from the mobile registered against your UAN, or SMS "EPFOHO UAN" to 7738299899. This is a balance enquiry facility, not a grievance channel, so it will not move a pending case forward.
How long does it take for EPFO to resolve a grievance?
To recap what we mentioned earlier, EPFO aims to dispose of most grievances within 15 to 30 days of registration. Realistically:
● Simple issues like passbook mismatches or KYC corrections usually get resolved quickly.
● Complex cases, especially those involving employer non-compliance or PF non-deposit, can take longer, up to a month.
● If 15 days pass without a satisfactory resolution, you're entitled to escalate immediately.
There is no separate appeals tribunal a member can approach for a stuck claim. Escalation at this stage is administrative, and it runs in this order: send a reminder on EPFiGMS, then write to the Regional PF Commissioner (RPFC) of the office handling your account, then email rc.csd@epfindia.gov.in with your Grievance Registration Number to reach EPFO Head Office, then file on CPGRAMS and use the Appeal option if the resolution is unsatisfactory. The Employees' Provident Fund Appellate Tribunal no longer exists. Its jurisdiction moved to the Central Government Industrial Tribunals in May 2017, and those tribunals hear statutory appeals under Section 7-I, which are almost entirely employer disputes over assessment and damages, not member claim delays.

An RTI request compels EPFO to provide a written, time-sensitive response (within 30 days) stating the exact status and reasoning behind your case. This can be especially beneficial in the case of
● A claim being rejected multiple times without explanation
● A suspicion that your file is stuck because of an internal processing error and not a documentation issue
● A paper trail being required for further escalation or possible legal action
How to file an RTI online?
You can file an RTI online at rtionline.gov.in. Select the Ministry of Labour and Employment, then EPFO, and pay the Rs 10 fee online. The nodal CPIO will forward your application to the Central Public Information Officer (CPIO) at your regional EPFO office.
Be specific about what information you're seeking, i.e., your claim ID, dates of submission, and the exact clarification you need.
How to file an RTI offline?
If you'd rather not file online, you can submit your RTI request offline too. Just write a clear request on plain paper, attach a Rs 10 fee, address it to the Central Public Information Officer (CPIO) at your local EPFO Regional Office, and send it via Speed Post or submit it in person. Here's a step-by-step:
1. Draft the application: Write it in English, Hindi, or your local language. State at the top: "Application under the Right to Information Act, 2005."
2. Be specific: List the specific information you need as bullet points (e.g., status of your PF transfer and date of grievance resolution).
3. Details to include: Include your name, full postal address, and contact details.
4. Fees: The application fee is strictly Rs 10. You can pay this in cash at the EPFO office counter against a receipt, or via Indian Postal Order (IPO), Demand Draft (DD), or Banker's Cheque drawn in favour of the "Accounts Officer" of the concerned EPFO office and payable at that location. If you later ask for photocopies of documents, there is an additional charge of Rs 2 per page.
5. For BPL cardholders: If you're a Below Poverty Line (BPL) cardholder, you're exempt from the fee, but you'll need to attach a copy of your BPL certificate.
6. Submission: Address the envelope to "The Central Public Information Officer (CPIO), Employees' Provident Fund Organisation", followed by the specific office address.
7. How to send it: Send it via Registered Post or Speed Post so you get a tracking number, or hand-deliver it at the office's receiving counter.
8. Keep proof and follow up: Retain a photocopy of the application and your postal/tracking receipt.
Whichever route you choose, EPFO is required to respond within 30 days of the application reaching the correct CPIO. If your application is transferred from one office to another under Section 6(3), the 30 days effectively restarts at the receiving office.
