Two Things to Keep in Mind Before You Begin
The EPFO KYC process is entirely online and takes up little time when your documents are in order. The two most common reasons it takes longer are the following:
A] a name that does not match exactly across your Aadhaar, PAN, and EPF records;
B] an employer who has not yet approved the request.

1] How do I link Aadhaar to UAN?
It is mandatory to link UAN to Aadhaar to access EPFO services and submit withdrawal requests. Explore the online and offline ways to link Aadhaar to UAN, depending on whether your employer is reachable.
Option 1: ONLINE Application By The EMPLOYEE
Step 1: Sign In
Visit the official EPFO Member Portal. Add your UAN, password, and captcha.
Step 2: Navigate to 'Manage' > 'KYC'
Select Aadhaar on the new page you’re redirected to.
Step 3: Enter Aadhaar Details
Add your Aadhaar number and name exactly as visible on your Aadhaar card. Then, click Save.
Step 4: Wait for Verification
Once saved, your details will be verified by your current employer or UIDAI.
Option 2: OFFLINE Application By The EMPLOYEE
If you cannot contact your employer or he cannot approve your request online, the bank will be the attesting authority. For this type of verification, you will need to apply offline by submitting a physical Joint Declaration form at your nearest EPFO office.
Step 1: Download Joint Declaration Form
Download the Joint Declaration Form from the EPFO portal. Provide details like bank account number, IFSC code, UAN, and more.
Step 2: Attach Self-Attested Documents
Attach self-attested UAN, Aadhaar, PAN, and bank passbook (or cancelled cheque) to the form.
Step 3: Bank Attestation
Since the employer is unavailable, you can get a stamp and signature directly from your bank branch on the JD form.
Step 4: Write a Clarification Letter
Submit the form to the regional PF Commissioner with reasons for the bank attestation instead of the employer attestation.
NOTE: If an employer is active but can’t raise it due to portal errors, you can still go offline. You’ll need:
1. Error screenshot from the portal
2. Clarification letter stating why the offline route is needed
Option 3: ONLINE Application By The EMPLOYER
This option is a faster process since no separate approval from EPFO is required. However, this can only be done if all your details in the UAN exactly match Aadhaar and are verified.
Step 1: The employer logs in through the EPFO or the employer portal
Step 2: They file a Joint Declaration request to link or rectify Aadhaar with UAN details
2] How do I add my bank account to EPF KYC?
You need to have a linked bank account to make online claims, PF withdrawals, and transfers. Aside from the IFSC code and account number, your added name must match the Aadhaar and PAN records. Here is a step-by-step breakdown:
Step 1: Visit the UAN Portal
Go to the official EPFO Member Portal:

Step 2: Navigate to 'Manage' > 'KYC'
Once logged in, look for the 'Manage' tab in the top menu and select 'KYC' from the dropdown.
Step 3: Select the ‘Bank’ option
Enter your name, bank account number, and Indian Financial System Code (IFSC) number.
Step 4: Verify IFSC
A message that your bank details have been verified will appear on the screen. Now you can click on 'Save'.
Step 5: Fill in OTP
Enter the OTP sent to your registered / Aadhaar-linked mobile number.
All set!
Note: The employee must submit the bank details in the UAN portal, and the employer must approve them. The EPFO approves the bank KYC digitally only after the employer has verified it, allowing one to withdraw or transfer money.
3] How to Link PAN Card to EPF
Your PAN card verification ensures your EPF savings are income tax compliant and that you’re eligible to reap their benefits. Follow these five steps to link your PAN with your EPF account. This process applies to all EPF account holders, whether you are an employee, self-employed, or a pensioner.
Steps to Link PAN with EPF Account (Online)
Step 1: Visit the UAN Portal
Go to the official EPFO Member Portal.
Step 2: Navigate to 'Manage' > 'KYC'
Once logged in, look for the 'Manage' tab in the top menu and select 'KYC' from the dropdown.
Step 3: Select the ‘PAN’ option
Remember, steps 1 and 2 remain the same for all document-linking activities. In this step, since you wish to link your PAN card, click on the ‘PAN’ option.
Step 4: Add ‘PAN’ details
Immediately, you will see the option to add your name and 10-digit PAN number. Once you enter these, click on the ‘consent box’ just below.
Tip: Enter your PAN name and account EXACTLY as given on your PAN card, right down to your middle name and the alphanumeric code. Always double-check before saving.
Step 5: Enter OTP
As soon as you click ‘Save’, you will be redirected to a new page. Verify with the OTP sent to your Aadhaar-linked number.
All done!
Note: In case the problem is with the PAN record, you need to rectify it first. You can update the PAN details online through the NSDL e-Governance Portal or the UTIITSL Portal.
Make sure that the name spelling, date of birth, and gender all match precisely with your EPF account number. After the issuance of the updated PAN card, link it to your EPF account again as per the steps above.
Steps to Link PAN with EPF Account (Offline)
There are several reasons one may need to opt for offline linking, particularly when an online correction fails. One of the most common reasons is a name or date of birth mismatch that the system cannot automatically resolve.
Step 1: Fill the EPF PAN Linking Form
Approach the nearest EPFO office and ask for an EPF-PAN linking form. Add in necessary details, such as your full name, PAN, UAN, date of birth, and registered mobile number.
Step 2: Attach Documents
Self-attest photocopies of your PAN card and UAN and attach them to the completed EPF-PAN linking form.
Step 3: Submit Form
Submit the completed EPF-PAN linking form to the concerned EPFO officer present at the office itself.
Step 4: Application Verification Begins
Once submitted, it’s a waiting game. As soon as your application verification is completed, you will receive a notification on your phone and email about the status of your EPF-PAN linking.

Check EPF KYC Status After Submission
Once you submit your KYC request, it goes through two stages, i.e., employer approval and EPFO verification. To follow it, do this:
Step 1: Log in to the EPFO Member Portal
Step 2: Click on 'Manage', then 'KYC'
Step 3: Check your document’s status:
- Pending with Employer for Digital Signature: The employer is yet to approve your KYC
- Pending with EPFO: Your details are securely received by the system
- Under Process: Received details are assigned to an EPF officer and are being verified.
- Approved and Verified: Final call has been taken and your KYC is approved.
Step 4 (IF REJECTED ONLY): A rejected document will display a reason next to it on the same page. Address that specific issue and raise the request again.
Status Still Not Updated? Here Are Four Options:
1] Confirming Employer’s Digital Signature: Sometimes delays can arise because the employer’s signature isn’t generated, hasn’t been mapped, or has expired on the EPF portal. It’s important to check in with your HR or PF administrator and request them to verify and register their signature on their side of the EPF portal.
2] Raise Grievance: Claim pending for 20+ days? Go to https://epfigms.gov.in/. Click on ‘Register Grievance’ and enter your UAN and claim ID. Next, select “Pending Claim” under claim type and provide your reasons in detail. You can also escalate your grievance with the portal’s “Send Reminder” feature, calling the toll-free 14470 or emailing the nodal officer at rc.csd@epfindia.gov.in
3] Contact EPFO Support: If you have waited a reasonable period without updates or a clear rejection reason, contact EPFO Support on 1800 118 005 or write to uanepf@epfindia.gov.in and employeefeedback@epfindia.gov.in with your UAN and submission details ready.
4] Visit the Nearest EPFO Office: For anything unresolved or complex, in-person assistance may be the best option.

EPF KYC Pending or Rejected? Common Issues and Solutions
1. Name, Date of Birth, or Address Discrepancy
This is the most common reason for KYC rejection. Any discrepancy between your EPFO records and the documents you submitted, whether it is an abbreviation of a middle name or a spelling mistake, is marked as an error.
Correction: Check your full name, date of birth, and address in Aadhaar, PAN, and bank account before submission. If the mismatch is in your EPF records, then you need to raise a Joint Declaration through your employer.
2. Incorrect Bank Account Information
Wrong Account number, a name mismatch, or a wrong IFSC code can lead to failure of bank KYC. You must be the sole account holder, as joint account information usually leads to avoidable rejections.
Correction: Delete the current entry under 'Pending KYC', re-enter your details carefully, and check the IFSC before saving.
3. Technical Errors with the Portal
If you face a portal dropout during your application, your KYC may not even be processed.

How to Check EPF Claim Rejection Reasons?
The EPFO Member Sewa portal lets you check your EPF account details, including your member profile, nomination information, and UAN status.
Log in to the EPFO member portal and select “Track Claim Status.”
View the remarks for any rejection reason mentioned.
Can You Withdraw PF Without Completing KYC?
The short answer is no. But the longer answer is more encouraging than most people expect.
Since 2017, EPFO has not required physical proof of the reason for withdrawal; members simply declare the purpose on the form, and no paperwork needs to reach an EPFO office. In April 2025, even the requirement to upload a cheque leaf was removed.
So what is behind all these changes? A complete KYC update for your EPF UAN. For an online withdrawal to be processed without documents or employer involvement, three things have to be in place: Your Aadhaar should be seeded and verified in the EPFO system, your PAN should be linked and made active, and your bank account details should be accurate and updated. Without all three, the system can't confirm your identity, where the money goes, or whether the claim is valid.
Full KYC for UAN is therefore needed to withdraw PF.
