Why Do PF Claims Get Rejected?
You submitted your PF claim two weeks ago. You've checked the UAN portal daily. Then the rejection notice arrives: "Claim rejected due to EPS discrepancies."
Frustrating? Absolutely. But here's what most people don't realize: the large majority of PF claim rejections are fixable. EPFO doesn't reject claims randomly, there's always a specific reason. Once you know what it is, the fix is usually straightforward.
The challenge is that EPFO's rejection messages are often vague. "Discrepancies found" could mean ten different things. That's where this guide comes in. We've identified the 7 most common reasons and exactly how to fix each one.
Reason 1: Aadhaar-Name Mismatch in UAN Portal
What's the Problem?
This is one of the most common rejection reasons we see. Your name on your Aadhaar card doesn't match your UAN profile exactly. Even tiny differences, like including a middle name in one place and not the other, or spelling variations, cause EPFO to reject your claim automatically.

Examples of Mismatches That Trigger Rejection:
- Aadhaar shows "Rajesh Kumar Singh" but UAN shows "Rajesh K Singh"
- Aadhaar shows "Priya Sharma" but UAN shows "Ms. Priya Sharma"
- Middle names included/excluded differently
- Spelling variations: "Sanjay" vs. "Sanjey"
- Different order of name components
- An extra space can also block your claim
Step-by-Step Fix
- Log in to the UAN member portal (member.epfo.in).
- Navigate to Personal Profile: click "Personal Profile" > "View Personal Details."
- Compare your name character-by-character. Write down your Aadhaar name exactly as it appears (including middle names, titles, spacing).
- Update if needed: click "Modify" > select "Aadhaar & Name" > enter your exact Aadhaar name > submit.
- Wait for verification. EPFO takes 2-3 business days to verify the change. You'll get a confirmation message.
- Resubmit your PF claim once verified.

Reason 2: KYC Error (Aadhaar, PAN & Bank)
What's the Problem?
EPFO requires all three KYC documents, Aadhaar, PAN, and bank account, to be verified, approved, and perfectly matching before it processes any withdrawal. If even one has a mismatch, is pending verification, or has been rejected, your entire PF claim gets thrown out.
EPFO cross-verifies your details across all three databases (UIDAI for Aadhaar, Income Tax for PAN, and your bank). A single spelling difference, wrong digit, or outdated record anywhere in this chain triggers an automatic rejection.
Common KYC Errors That Cause Rejection:
- Aadhaar name mismatch: Name on Aadhaar doesn't match UAN records, even minor differences like "Rajesh Kumar" vs. "Rajesh K." or a missing middle name will cause rejection.
- PAN not linked or mismatched: PAN details on the UAN portal don't match what's on file with the Income Tax department.
- Bank account issues: Wrong account number, changed IFSC code (common after bank mergers like SBI subsidiaries), closed account, or account not in your name.
- KYC status still "Pending": You uploaded documents but EPFO hasn't verified them yet, this can take 3-7 days, and claims filed before verification completes get rejected.
- Blurry or incomplete document uploads: Scans that are unclear or cut off get rejected during verification.
- Aadhaar-PAN not linked: EPFO increasingly requires Aadhaar-PAN linking. If yours aren't linked, KYC verification can fail silently.
How to Check Your KYC Status
- Log in to member.epfo.in.
- Go to "Manage" > "KYC." You'll see all three documents listed with their status.
- Check each: Verified = approved and good to go; Pending = uploaded but awaiting verification (wait 5-7 days); Failed/Rejected = needs correction and resubmission.
All three must show "Verified" before you submit a claim.
Step-by-Step Fix for Each KYC Document
Fixing Aadhaar/PAN KYC:
- Name mismatch? Follow the fix process from Reason 1.
- Aadhaar not linked? Ask your employer, or complete face authentication yourself if newly enrolled.
Fixing Bank Account KYC:
- Verify your account number and current IFSC code with your bank (IFSC codes change after bank mergers).
- On the UAN portal, go to "Manage" > "Bank Account" > enter correct details.
- Your bank manager must approve the bank change; follow up with your bank if it's been more than 7 days.
- Wait for EPFO to verify (5-7 days), then resubmit your claim.
Reason 3: Date of Exit Not Updated by Employer
What's the Problem?
This is the #1 reason PF claims get stuck. You've left your job, but your employer hasn't updated your exit date in the EPFO system. Without an exit date, EPFO assumes you're still employed and rejects your full withdrawal claim (unless you're withdrawing for a specific need like medical emergency).
Why This Happens:
- Employer delayed exit processing (common at large companies)
- Employer went out of business or shut down
- You were terminated and HR didn't process the exit
- Employer simply forgot to update the portal
- Payroll outsourcing company didn't update EPFO
Step-by-Step Fix: Self-Certification
You can self-certify your exit date on the UAN portal without needing employer approval:
- Log in to member.epfo.in.
- Navigate to "Manage" > look for "Mark Exit."
- Select "Self-Certification" (not "Employer Marked Exit").
- Enter your exit date, the date you stopped working at the company.
- Upload a supporting document: relieving letter, last salary slip, full and final settlement letter, or an exit form signed by you and your employer.
- Submit and wait. EPFO reviews self-certified exits within 5-7 days.
- Once approved, resubmit your PF claim.
If your employer is unresponsive, this self-certification route is exactly what to use, you no longer need their sign-off. This has been a genuine turning point for employees whose companies disappeared or refused to cooperate.
Reason 4: Multiple UANs Not Merged
What's the Problem?
Every time you change jobs, your new employer is supposed to use your existing UAN. In practice, many employers generate a new UAN instead. That means your PF contributions are now split across two or more separate UANs.
When you try to withdraw using one UAN, EPFO may reject the claim because your service history looks incomplete, it only sees partial contributions. The balance you're expecting won't match what's under that single UAN.
How Do You End Up With Multiple UANs?
- New employer created a fresh UAN because HR didn't ask for your existing one during onboarding.
- Different Aadhaar/PAN linked to each UAN (one has your old Aadhaar, the other the updated one).
- You didn't know your own UAN, so HR defaulted to creating a new one.
How to Check If You Have Multiple UANs
- Go to member.epfo.in > "Know Your UAN" > enter your Aadhaar, PAN, or member ID.
- Check the UMANG app, it can show linked UANs against your Aadhaar.
- Ask previous employers, old salary slips or EPFO passbook statements will show which UAN each employer used.

If you see more than one UAN, they need to be merged before you can withdraw smoothly.
Step-by-Step Fix: Merging Multiple UANs
- Identify all your UANs using the methods above.
- Go to "Online Services" > "One Member - One EPF Account (Transfer Request)."
- Fill in Form 13 (Online Transfer Claim) using your old member ID and establishment details from your old EPFO passbook.
- Select who should attest: your current or previous employer.
- Submit and track. The transfer typically takes 15-20 days under "Track Claim Status."
- Once merged, resubmit your withdrawal claim, your full service history and balance will now sit under one UAN.
What If Your Previous Employer Has Shut Down?
If your previous employer is no longer operational, you may not be able to get their attestation. What you can do instead:
- File a grievance on the EPFiGMS portal requesting EPFO merge your UANs or process the transfer directly.
- Attach supporting documents: salary slips, appointment letter, relieving letter.
- Visit your EPFO regional office with the same documents for faster resolution.
Important: If your Aadhaar, PAN, and bank details are verified, your UAN is Aadhaar-linked, your personal details match across records, and the transfer is initiated online, employer attestation is usually not required at all, even if the employer is inactive.
Reason 5: Wrong Claim Form Selected
What's the Problem?
PF withdrawal isn't one-size-fits-all. EPFO has different forms for different situations. Submit the wrong one and your claim gets rejected even if every other detail is perfect.
Form 19: Full Withdrawal (After Exit)
- Use after you've permanently exited your job.
- Withdraws your entire PF balance (employee + employer contribution + interest).
- Can only be used once your exit date is marked in EPFO.
- Most common mistake: submitting Form 19 while still employed, which causes automatic rejection.
Form 31: Partial Withdrawal (While Employed)
- Use while still with your employer.
- Limited withdrawal for specific needs under the current category system: Essential Needs, Housing Needs, or Special Circumstances.
- Amount depends on which category and reason you're claiming under.
Form 10C: Pension Settlement (EPS Related)
- Use when there's a pension (EPS) portion to settle.
- Typically relevant if you have less than 10 years of service.
- More complex; often causes rejections due to pension-related issues.
How to Know Which Form to Use:
- Still employed? Form 31 (partial withdrawal).
- Already exited? Form 19 (full withdrawal).
- Less than 10 years of service with an EPS component? You may need Form 10C alongside Form 19.
Reason 6: Insufficient Service Period
What's the Problem?
EPFO ties some withdrawal types to a minimum service period. If you select a withdrawal reason without meeting that requirement, your claim can get rejected.
This doesn't mean you can't withdraw your PF at all, it usually means you've selected the wrong withdrawal type for your situation.
The Current Rule (Effective June 29, 2026)
All partial withdrawals, medical, education, marriage, housing, and others, are now grouped into three categories: Essential Needs, Housing Needs, and Special Circumstances. All three require a minimum of 12 months of service.
For full withdrawal due to unemployment: you can withdraw 75% of your balance soon after job loss, and the remaining 25% after 12 months of continued unemployment.
For partial withdrawal specifically:
- After 12 months of service: you're eligible under the category system above.
- Before 12 months of service: you're generally limited to withdrawing only your employee contribution, not the employer's share.
How to Check Your Service Period
- Log in to member.epfo.in.
- Check your "Service History" under Personal Profile.
- Look for "Date of Joining" and calculate your months of service.

Reason 7: EPS (Pension) Related Issues
What's the Problem?
EPS issues are among the most common and complex reasons for rejection, especially for Form 10C (pension withdrawal) or during PF transfer. These usually arise from:
- Incorrect or missing EPS contributions
- Incomplete or mismatched service history
- EPS deducted on higher wages (above ₹15,000)
- Previous service not properly linked or verified
Why Your Claim Gets Rejected:
- EPS isn't deducted despite eligibility
- EPS is deducted incorrectly on higher wages
- Previous EPS service isn't updated
- A mismatch exists between Annexure K and EPFO records
- You have multiple UANs with unmerged EPS history
In these cases, EPFO can't validate your pension eligibility, so the claim gets rejected.
Step-by-Step Fix
- Identify the issue: check your passbook and review EPS contribution entries.
- Collect documents: Annexure K, salary slips, previous PF passbook, Scheme Certificate (if applicable).
- Employer action (if required): ECR correction, Form 3A submission, or a clarification letter.
- Raise an EPFO grievance: clearly state the EPS issue, attach all documents, request a service update.
- Reapply: once records are corrected, reapply for Form 10C, transfer, or withdrawal.
